Never send a new patient to voicemail at lunch
New patients call once. If the front desk is with someone, they call the next practice on the list. GotItDesk answers the calls nobody reached, asks new or returning, and books the check-up.
Coming once HIPAA is in place. Not for patients’ health information today. We’ll email you when it’s ready.
We’re working on HIPAA. Until it’s in place we don’t sign business associate agreements, so please don’t use GotItDesk for patients’ health information.
The calls you’re missing
- “Are you accepting new patients?” during the lunch hour.
- “Do you take my insurance?” after you’ve closed.
- “I’ve got a broken tooth and it really hurts.”
Questions it answers in your words
- Do you take my insurance?
- Do you see children?
- Do you offer payment plans?
- Are you accepting new patients?
- Is there parking?
- Do you do teeth whitening?
You write the answers in setup. It is built not to make one up: what it doesn’t know, it takes as a message.
What’s particular to dental
Insurance in your words
It answers insurance questions only from the plans and wording you give it, and never promises what a plan covers.
Pain goes to a person
Severe pain, swelling, bleeding or a knocked-out tooth is put through to your team if someone is free, or taken as a message for the team.
New or returning first
It asks before booking, so the booking says who is new. Give first visits their own service and length, and it books that.
Your call flow, ready to change
For dental, setup starts with this flow. Every line is yours to rewrite, reorder or delete. The parts in brackets come from your price list and calendar on the call.
- Greeting“Thanks for calling Your business! How can I help you today?”
- New or returning“Have you been in to see us before, or would this be your first visit?”
- Reason for visit“What's the visit for — a check-up and clean, or is something bothering you?”
- If it's urgent“That sounds like it shouldn't wait. Let me put you straight through to the team.”
- Insurance“Which insurance are you with? I'll check it against the plans we work with.”
- Appointment“I can get you in [two open times]. Which works better?”
- Wrap up“You're all set for [the time booked]. Anything else I can help with?”
Listens for: “severe pain”, “swelling”, “bleeding”, “knocked out”, “broken tooth”. You add your own words in setup.
Bookings go into your GotItDesk calendar and are emailed to you with a calendar invite; connect Google Calendar or Outlook and its busy times are kept free. Apple iCloud, texts to callers and deposits are coming soon, not live yet.
